General Terms and Conditions Hotel & Gastronomy
1. Scope | |
a. Applies to rental agreements for hotel rooms, function rooms and seminar rooms. | |
b. Also applies to all other services provided by HGA. | |
c. The following conditions apply to room reservations and events for 10 or more people. The type of event is immaterial. | |
2. Conclusion of agreement and contractual parties | |
a. The agreement shall be concluded with the acceptance of the customer’s reservation by HGA and must be made in writing to become effective. | |
b. The subletting or re-letting of hotel rooms or other rooms for purposes other than those defined in the agreement shall require approval from HGA in writing. | |
c. The customer’s terms and conditions shall not apply. | |
3. Liability | |
a. The customer shall be liable to HGA for all damage and loss caused by him/her or one of his/her participants without HGA having to prove that the customer was at fault. This shall also apply to reservations made by third parties. | |
b. HGA shall accept no liability for theft of or damage to materials supplied by the organiser, participants, speakers or third parties. This shall also apply to damage to or loss of parked or moving vehicles. | |
4. Services, prices, payment and invoicing |

a. HGA shall be obliged to provide rooms and venues reserved by the customer and supply booked services. | |

c. All prices shall be non-binding and subject to change. Prices shall become binding only after event agreement has been put in writing. Prices include VAT at a rate of 7% or 19%. | |
d. Food shall be subject to the published prices for standard services. Unless supplementary services are included in the agreement, the customer shall have no right to additional food or supplementary services. | |
e. Services ordered will be invoiced in full. This also applies to services ordered but not used and to no-shows. | |
f. Unforeseeable extra costs will be invoiced additionally after use. | |
g. Unless the customer has specified otherwise, all services will be added to the total bill. Unless stated otherwise in the agreement, each participant must pay for non-standard supplementary services (telephone or minibar) on the day of departure. In the event of non-payment by a participant, HGA reserves the right to charge the unpaid supplementary services to the total bill. | |
h. Where payment on invoice has been agreed, the customer shall settle the account within 14 days of receipt of the invoice. | |
i. HGA reserves the right to issue an advance invoice of up 50% of the anticipated sale. | |
5. Provision of rooms, check-in, check-out |

a. The customer shall not be entitled to a specific room unless this was expressly stated in the accommodation agreement. | |

c. Rooms must be vacated by 11 p.m. on the day of departure. In the event of late check-out, HGA reserves the right to charge the customer 50% of the cost for one night’s accommodation. | |
6. Cancellation by the customers | |
a. Change in the number of guests: - Up to 14 days before the event: free cancellation - Less than 14 days before the event: 100% of confirmed services Payment shall be based on the number of persons registered 48 hours before the beginning of the event. b. Outright cancellation of the event:- Up to 60 days before the event: 100% of room rental. If the room rental is included in an all-inclusive price, it will be charged pro rata. - 60 to 30 days before the event: 100% of room rental and 50% of confirmed services (such as costs for rooms, menus or seminars) - 29 – 15 days before the event: 100% of room rental and 75% of confirmed services (such as costs for rooms, menus or seminars) - 14 – 1 days before the event: 100% of room rental and 100% of confirmed services (such as costs for rooms, menus or seminars) c. Cancellation of room reservations (not associated with an event):- Up to 7 days before arrival: free cancellation - 7 to 2 days before arrival: 50% of confirmed services - 1 day before arrival or no-show: 100% of confirmed services |

a. Where no firm reservation has been agreed in writing, HGA reserves the right to cancel provisional reservations and, if an enquiry has been made by another customer, offer the accommodation to other guests |

b. HGA shall also be entitled to cancel the agreement owing to exceptional circumstances, such as force majeure or other circumstances beyond the hotel’s control. |
